Itinerary Design Flight Coordination On-Ground Logistics Trip Support

Situation
A UHNW executive and his partner needed to travel to Italy for a mix of business, personal time, and high-end dining experiences. The schedule spanned multiple cities, pending commitments, and a combination of commercial and private flights.

Beyond logistics, the executive wanted access to several award winning restaurants, including customized experiences not typically available to the public.

Challenge

  • Synchronizing private aviation with commercial schedules

  • Balancing business meetings and leisure time

  • Working across time zones with European vendors and staff

  • Managing reservations and coordination with Michelin-recognized chefs

  • Protecting privacy while handling special requests

  • Building contingency plans for shifting schedules and transportation changes

Everything needed to feel effortless for the executive while dozens of moving parts worked behind the scenes.

What I Did

  • Built a comprehensive travel plan integrating flights, transfers, hotels, drivers, and security considerations

  • Coordinated both commercial and private flight logistics, including backup options at every stage

  • Created detailed itineraries tailored to energy levels, travel fatigue, and changing needs

  • Handled communication directly with restaurant teams, including special off-menu accommodations and chef-table experiences

  • Aligned schedules with household staff and domestic teams to ensure continuity at home

  • Managed documentation, confirmations, and local contacts in one centralized, accessible system

  • Stayed available for live adjustments as plans evolved during the trip
